 INTERCAMPUS COMMUNICATION SYSTEM (I.C.S.) 
CONTENT SUBMISSION GUIDELINES  

WHO CAN SUBMIT CONTENT?
Every campus department or division can submit events and announcements pertinent to the CSN community. For inclusion, your content must… 

  • Receive approval from a VP, Director, Department Chair, Dean or Faculty Advisor.
  • Have students, faculty or staff as its primary audience.
  • Be date-sensitive in that it is something happening in the coming month. 
  • Be a one-time event or activity, not a recurring one. This requirement may not apply in some cases; each submission will receive committee review.  
  • Provide complete information, including the "who, what, when, where, and why" of the event or announcement along with the contact person, his/her email address and phone number, and the Web address where more information can be found, if applicable.
  • Not be for a specific course or class offering. 
CONTENT SUBMISSION
All still images should be submitted as an attachment or on one CD. Video should be submitted on a separate disk.  The Multimedia Developer will work with those who do not have the ability to copy files to CD or DVD.  Persons submitting content should be aware that physical CDs and/or DVDs become property of the Division of Public & College Relations, and that the committee review process for new content could take up to two weeks.
 
COPYRIGHT
It is a violation of Title 17, United States Code, to modify, enhance or reproduce images without the express consent of the copyright holder. Therefore, all photos, images and logos used on the I.C.S. require prior written consent of an authorized party. For the individual or group release of local photos, illustrations, clip art and shapes, as well as video, please complete an Individual Consent Release Form, a Group Consent Release Form or contact I.C.S. Control.
 
TEXT
Similar to a print ad, text displayed in the main area of a monitor should start with a catchy headline that encourages viewers to read more. The accompanying text should be no more than 150 characters or 25 words. All content and images are subject to editing. Content over the number of required words may be edited. We cannot provide proofs before publication and cannot ensure submitted content will appear as presented. 
 

STILL IMAGES/VIDEOS
Photos, illustrations, clip art and shapes, as well as video, should complement submitted text. 

ALL PDF DOCUMENTS, FLYERS, ETC. SHOULD BE FORMATTED 14 X 8.5” LANDSCAPE (PREFERRED). THIS WILL ALLOW DIRECT POSTING TO THE I.C.S.  PLEASE KEEP IN MIND THAT TEXT ON THESE DOCUMENTS MUST BE IN A LARGE ENOUGH FONT FOR VIEWERS TO READ FROM 15FT AWAY.
 

 

  • Photos should be 180 to 300 dpi (preferred). 
  • Videos should be AVI, MPEG2, H.264 or MOV and no more than 3 minutes in length (preferred).
  • The page setup for PowerPoint slides should be 14 X 8.5” Landscape.  In PPT ‘07, choose “Page Setup” on the “Design” tab to adjust height, width and orientation.

SCROLLING TEXT
Brief announcements that do not include still images or video will scroll across the bottom of each monitor.  Scrolling text should be no longer than 150 characters or 25 words.

TIMELINES
Please submit content at least two-weeks in advance of the requested airdate.  Date sensitive content will air a maximum of one month in advance of its specified event date.
