Making a Motion in a Meeting

The AFA Executive Committee recommends the use of the AFA Motion Form in order to ensure that what is said by the maker of the motion is repeated verbatim by the chair. 

Why is this important? 

Because it is what is repeated by the chair, not what is stated by the maker of the motion, that is recorded in the minutes and actually voted upon by the Assembly.  This form will ensure the intent of the motion is not changed.  It also assists the secretary in recording the actual verbiage of the motion and expedites the transaction of business in meetings.

The form can be sent to the chair ahead of the designated meeting time and an item can be placed on the agenda; or, it can be taken to the meeting and entered into the record during the normal course of business.

This form is not mandatory.  A verbal motion can be made within the meeting at any point, once a member is recognized.  This form simply helps to ensure accuracy and intent.
